Policies And Guidelines For All…
At Soft Lite Hotshots, we are committed to delivering a high-quality, professional, and respectful workshop experience. The following policies ensure clarity, fairness, and the best possible environment for all participants, models, and crew. Please read them carefully before registering.
Payment & Registration:
A non-refundable deposit is required to secure your spot in any workshop. The remaining balance is due 60 days prior to the workshop start date. We accept major credit cards and secure online payments. Your registration is not confirmed until the deposit is received and acknowledged.
Cancellation & Refund Policy:
Cancellations made more than 90 days before the workshop start date: Full refund minus the non-refundable deposit and any applicable processing fees.
Cancellations made 61–90 days before the workshop: 50% refund of the total workshop fee (minus the deposit).
Cancellations made 60 days or fewer before the workshop: No refunds will be issued.
We understand that unexpected circumstances can arise. In the event of a medical emergency or other serious situation, we will consider transferring your registration to a future workshop (subject to availability and approval). Workshop credits are valid for 12 months from the original date.
Soft Lite Hotshots reserves the right to cancel or reschedule a workshop due to low enrollment or unforeseen circumstances. In such cases, participants will receive a full refund or the option to transfer to another available date.
What’s Included & What to Bring:
Your workshop fee includes professional models, makeup and hair styling, wardrobe, set design, lighting equipment, and hands-on instruction from Tim and Emmy. Participants are responsible for bringing their own camera body, lenses, memory cards, batteries, charger, and any personal computer or tablet for editing sessions. A laptop is highly recommended for the editing mini-classes.
Code of Conduct:
We maintain a professional, supportive, and inclusive environment. All participants, models, and crew are expected to treat one another with respect. Inappropriate behavior, harassment, or unprofessional conduct will not be tolerated and may result in immediate removal from the workshop without refund. We encourage open communication, collaboration, and a positive creative atmosphere.
Liability & Safety:
Participation in our workshops is at your own risk. You are responsible for your personal safety and the security of your equipment at all times. Softlite Hotshots and its team are not liable for any injury, illness, loss, damage, or theft of personal property during the workshop. We recommend that participants carry their own health and travel insurance.
Image Usage & Model Releases:
Models sign professional releases granting participants the right to use images created during the workshop for personal portfolios, marketing, and social media (non-commercial use). Commercial use or stock licensing requires separate written permission from the model. Participants grant Softlite Hotshots permission to use images from the workshop (with proper credit) for promotional purposes.
Photography & Filming During the Workshop:
Participants may photograph and film the instructional portions of the workshop for personal educational use. Recording of models or other participants without explicit consent is prohibited. We may photograph or film workshop activities for our own promotional use.
Weather & Force Majeure:
Workshops are held rain or shine unless safety is compromised. In the event of severe weather or other force majeure events, we will make every effort to adjust the schedule or move indoors. No refunds will be issued for weather-related changes.
AI & Post-Production Philosophy:
We encourage strong in-camera techniques and practical prop/set building. While we cover editing techniques, we believe the strongest images start with excellent capture rather than heavy reliance on AI tools.
By registering for a Soft Lite Hotshots workshop, you acknowledge that you have read, understood, and agree to these policies.
